MINIMUM-EFFECTIVE QMS DOCUMENTATION · UAE

What documents does an ISO 9001 system actually need?

ISO 9001 does not prescribe one universal manual or fixed procedure count for every organisation. A useful quality management system combines documented information explicitly required by the applicable standard with the information your organisation decides is necessary to operate and control its processes. The format can be digital, visual or paper-based when it remains controlled and usable.

WHEN THIS HELPS

Situations we can help you resolve.

  • A supplier has offered dozens of generic procedures
  • Employees cannot find or follow the current documents
  • The company already uses ERP, CRM, ticketing or project software
  • Management wants minimum documentation without losing audit evidence
  • An existing QMS contains duplicate forms and inactive manuals

PRACTICAL DECISION SEQUENCE

Work through the question in a useful order.

Use this sequence to clarify the requirement and organise the next decision. Confirm standard-specific interpretations with the authorised standard and an independent certification body.

01

Identify the documented information explicitly required by the authorised edition applicable to your project

02

Map the organisation’s real processes, responsibilities, risks, controls and handovers

03

Retain useful existing contracts, system records, drawings, checklists, approvals and operational data

04

Create policies, procedures or work instructions only where they help consistent control, competence or evidence

05

Define records that demonstrate results such as review, inspection, acceptance, competence, audit and corrective action

06

Control approval, access, revision, retention, protection and disposal in proportion to risk

07

Avoid copying copyrighted standard clauses into templates or turning the QMS into an imitation of the standard

08

Test every document with the person who performs or owns the work before external-audit preparation

DIRECT ANSWERS

Questions about this resource.

Does ISO 9001 require a quality manual?+

ISO 9001:2015 does not prescribe a universal quality manual. An organisation may still use one when it provides a useful overview of scope, processes and interactions.

Can software records replace paper forms?+

Yes, when the digital record provides the necessary information and is appropriately identified, protected, retrievable and controlled.

How many procedures should a small company have?+

There is no responsible universal number. The answer follows the company’s processes, risks, competence, customer obligations and need for consistent evidence.

Can LETA provide a generic ISO document pack?+

LETA’s approach is to review what already exists and build minimum-effective documentation around the actual scope. A generic pack may create maintenance work without improving control.
